Privacy Policy

This Privacy Policy (the “Policy”) of Kevric Management Inc. and its affiliates (“Kevric”) describes the principles and practices Kevric follows in handling personal information. The respect of privacy and the protection of personal information are essential to us, which is why, through this Policy, we intend to protect personal information in accordance with applicable laws.

In order to ensure this protection, Kevric will only collect, process and share personal information with the consent of the individual, unless it is used for the detection and prevention of any illegal activities or is required by law or other regulation, in which case your consent will not be required.

The purpose of the Policy is to inform users of the purposes and manner in which Kevric, or anyone acting on its behalf, will collect and use their personal information. It is intended to be in plain language to ensure informed consent from users.

Collection of personal information

Consent may be express or implied and may be provided directly by the individual or by his or her authorized representative.

We prefer to obtain express consent, whether verbally, electronically or in writing. However, implied consent may be reasonably inferred from a person’s action or inaction. For example, providing a name and address to receive a publication, or a name and telephone number to obtain an answer to a question, is considered implied consent to the collection of information containing personal information. In determining the appropriate type of consent, we take into account the sensitivity of the personal information involved, the purposes for which it is collected and the reasonable expectations of a similarly situated individual.

We collect personal information only when it is necessary for hiring purposes to open your file with our payroll software.

Use and disclosure of personal information

We use your personal information only for the purposes for which it was collected. We will not disclose your personal information to third parties without your consent, except as permitted by law.

Personal data collected may be shared:

  • If required by law (i.e. medical information required by group insurance company);
  • If the information is required for legal proceedings;
  • To protect the company’s legal rights.

Protection of personal information

We and our third-party providers have implemented appropriate security measures to protect your personal information against unauthorized access, disclosure, use, alteration or destruction. On an annual basis, our third-party providers are required to remit an internal control certification in order to provide Kevric with comfort that the personal information is protected, as well as the following:

  • Secure file access
  • Logging of actions
  • Application of a security policy
  • Secure network environment
  • Data archiving and disposal procedures

Please note that most of the personal information managed by Kevric is the personal information of employees, job applicants, consultants and/or partners. For the other categories of individuals listed below, the information provided is, in the majority of cases, of a professional or business nature. Please note that in most cases, Kevric also collects the individual’s professional title/function, the name of the organization and/or the organization’s address.

The following is a non-exhaustive list of the types of personal information our company may collect, its use or purpose, and the means by which it is collected. This includes, but is not limited to, the following:

Clients

  • Information collected (when required): name; phone number; e-mail address; banking information (where necessary); language; postal code.
  • Purpose: establish and manage customer relations (and obtain a means of communication); provide a service; collect information as part of a program; respond to a request for information; know the preferred language of communication; enable monthly rental payments.
  • Means of collection: by means of Web forms integrated into an Internet site controlled by Kevric or an authorised third party; by e-mail (directly or through a document or other form attachment); via third parties.

Job Applicants and Employees

  • Information collected (when required): name; phone number; e-mail address; banking information; social insurance number; date of birth; address.
  • Purpose: managing communications with the applicant or employee; operate the payroll system.
  • Means of collection: by secure e-mail; by phone; web forms.

Consultants

  • Information collected (when required): name; phone number; e-mail address; banking information; address.
  • Purpose: managing communications with the consultant; invoicing.
  • Means of collection: by secure e-mail (directly or via an attached document: Word, PDF, etc.).

Service Providers

  • Information collected (when required): name; phone number; e-mail address; banking information; language.
  • Purpose: mandate management; invoice payment; know the languages in which they can provide services.
  • Means of collection: by secure e-mail.

Kevric (miscellaneous)

  • Information collected (when required): name; phone number; e-mail address; bank details (where necessary); language.
  • Purpose: future communications; registration for activities organized by Kevric; surveys; building up databases for future communications and network expertise; knowing the preferred language of communication; establishing partnerships (signing partnership agreements); collaboration.
  • Means of collection: by means of Web forms integrated into a website controlled by Kevric and other technology platforms or forms tools (e.g. Microsoft Forms); from third parties; by secure e-mail (directly or via a document or other form attachment).

Persons under 14 years of age

In accordance with current legislation, the consent of parents or legal guardians for the collection and use of personal information from children aged 14 and under is required, except where such collection is clearly for the benefit of the minor. If we become aware or are informed that we have collected personal information from a minor aged 14 and under without the appropriate consent, we will take the necessary steps to delete such information from our systems as soon as possible. Given the nature of our business, we do not collect any information on persons under 14 years of age.

Cookies

Kevric’s websites may use cookies and other tracking technologies. However, given the nature of our business, Kevric does not collect, use, store, or access any information that is being tracked.

Access to and correction of personal information

You may request access to your personal information held by us, or to modify, remove or correct certain information in your file.
